The retention you hold

Retention held, the ledger of what you have withheld from each subcontractor on the schedules you issued, what you have released, and exporting it to CSV.

Retention held lists every subcontract your company is the head contractor on, with the retention you are holding on each. Open it from the sidebar, under Overview, or from the Retention held figure on your overview. The two show the same total.

What counts as held

Only retention on a payment schedule you have issued counts. A schedule you are still preparing adds nothing until you issue it. Retention a subcontractor has claimed on a claim you have not answered yet is not held either: it shows under the withheld figure as claimed, not yet certified, so you can see what is coming.

The columns

Net heldWhat you still hold: withheld, less released, less anything written off.
Against the capRetention withheld against the subcontract's retention limit, with the limit beneath. Releasing retention does not free up room under the limit, so this is withheld rather than held. Anything above it is shown in red.
Trigger metWhether the subcontract has reached the point its retention terms set for a release, and how far towards it it is.
Available to releaseWhat the subcontractor could ask for back on its next claim, under the contract's release terms.
Defects periodWhether the subcontract is before practical completion, in its defects period, or past it, and when that period ends.

The four figures above the ledger are its totals. Net held also says how many of your subcontracts are holding anything.

Narrowing to one project

Choose a project from Project and select Apply. The ledger and every total narrow to the subcontracts on that project. A subcontract on no project appears only under All projects.

Exporting to CSV

Export CSV downloads the rows on screen, for the project you have chosen. Each figure is a plain number with two decimal places, so a spreadsheet can add the columns up. The file also carries the written-off amount and the claimed-but-not-certified retention, so the columns reconcile.
